Work procedures, equipment and quality controls

Cleaning in a live data center is about what you do not disturb as much as what you remove. These are the rules every job follows, whatever its size.

Work procedures

  • A site walkthrough before the first visit to agree scope, zones, access and restrictions
  • A written scope of work for each job, approved by your facility team
  • Work scheduled around your maintenance windows, change freezes and peak periods
  • Your site rules come first: badging, escorts, sign-in, photography and restricted areas

Equipment and materials

  • Filtered vacuums that capture fine particulate instead of exhausting it back into the room
  • Low-lint wipes and mops; no sweeping, blowing or aerosol sprays near equipment
  • Cleaning agents agreed with you in advance, with safety data sheets available on request
  • Minimal moisture anywhere near power, cabling or the subfloor

Around live equipment

  • Only exterior surfaces are cleaned; equipment interiors and energized parts are never touched
  • No cables, connections, labels or tiles moved without approval
  • Cabinets opened only with your permission and, where required, under escort
  • Anything unusual — damage, leaks, loose tiles, blocked airflow — reported, not fixed

Quality controls

  • A checklist for each zone, completed as the work is done
  • A service report after every visit: areas cleaned, observations and follow-ups
  • Before-and-after photos where your site policy allows them
  • A walkthrough and sign-off with your team at the end of each job

Documentation you can keep

After each visit you receive a service report: the date, the areas cleaned against the agreed scope, the methods used, observations such as damaged tiles or blocked perforations, and any follow-up items. Paperwork your site asks for before work starts, such as a method statement or a crew list for badging, is prepared with the scope.
